Responsibilities
As an Administrative Assistant, your daily tasks will be essential to the efficiency of the department. Your core duties will include:
• Manage complex calendars, schedule vital meetings, and coordinate travel arrangements for senior management.
• Oversee daily office logistics, including supply management and mail distribution, while serving as the primary point of contact for clients.
• Organize internal and external meetings, prepare professional agendas, and manage catering for corporate events.
• Draft, format, and proofread professional correspondence and presentations in both French and English.
• Collaborate with other coordinators to streamline workflows and maintain organized digital filing systems for the department.
• Greet partners with a high degree of professionalism, ensuring a positive and welcoming first impression of the organization.
Qualifications
To excel as an Administrative Assistant in this fast-paced environment, you should possess the following skills and experience:
• Possess 1 to 5 years of proven experience in a coordination or senior administrative support role.
• Communicate fluently in both French and English (oral and written).
• Demonstrate advanced proficiency in Microsoft Office Suite, specifically Word, Excel, PowerPoint, and Outlook.
• Apply exceptional organizational skills and discretion with confidential information to solve problems proactively.
• Adapt quickly to changing priorities while working independently in a high-pressure setting.
