Responsibilities
Producer – present for the delivery of instructor-led session
• Attend assigned sessions virtually and ensure learners have an exceptional virtual experience during the class/program (i.e. manage camera, mute participants when necessary, point-of-contact the resolve any experience issues)
• Manage all incoming questions, consolidate on the fly and call out the question(s) to the speaker to answer
• Where necessary, manage the flow of the session, by driving the deck during the sessions, monitoring timing/agenda and minimize disruptions
• Provides technical assistance for instructor and learners during sessions
• Send digital materials pre and post-session to all attendees (recorded sessions, communication on postlearning recommendations, job aids/guides to sustain the learning) Reporting & Continuous Improvement
• Keeping team apprised of any roster issues and making recommendations to address
• Identify risks in current processes and bring them to the attention of the team
• Gather and consolidate feedback results (where applicable) and submit to appropriate teams for further analysis and/or reporting
• Identify continuous improvement opportunities
Sourcing and Scheduling Learning Specialists
• Analyze and map the required skills for each training offering against the competencies and expertise of available trainers along with appropriate language skills
• Complexity and Ambiguity Management: Navigate the inherent complexity and ambiguity involved in matching Learning Specialists to offerings, considering factors such as evolving program requirements, Learning Specialist availability, and participant needs.
• Coordinate and schedule trainers, balancing multiple priorities and adapting to changes as needed to ensure seamless program delivery.
Business Relationships:
• Attend and participate in project planning meetings to ensure alignment on run sheet for assigned sessions; provide feedback and recommendations (where applicable)
• Point of contact for instructor to answer any questions they may have prior to the session
• Single point of contact for participants pre and post session Learner Experience – support the mandate to ensure best in-class experience
• Set up classes in Workday Learning
• Manage rosters of people registering, cancelling, attending and completions
• Ensure technology internal/external will work prior to each session
• Send out communications’ pre-session (directions, dietary, etc.)
• Schedule/source internal instructors where applicable
• Manage the processing of all vendor invoices and reconcile the budget each quarter CROSS-FUNCTIONAL RELATIONSHIPS
• Collaborate with peers and management both inside and outside the work unit when identifying, discussing and resolving business issues related to the work area.
• Interact on a regular basis with team members across company up to the Senior Management level for the purposes of obtaining, providing or exchanging information related to Talent Development programs.

• Strong proficiency in Excel (formulas, PivotTables, conditional formatting)
• Strong verbal and written communication and presentation skills (excellent ability to build executive presentations using PowerPoint).
