Our client, a major national legal firm, is looking to hire a legal assistant for their office in downtown Montreal.

Responsibilities
-Document Production: Prepare, edit, and proofread complex legal correspondence and litigation documents from dictation or drafts, ensuring strict adherence to formatting and practice standards.
-Workflow Coordination: Delegate and oversee tasks assigned to resource groups (Document Specialists, Billing, etc.) to ensure timely and accurate completion.
-Litigation Support: Assist with hearing and trial preparation, coordinate the service and filing of proceedings, and manage court-designated hearings and expert witnesses.
-Docketing & Scheduling: Proactively manage lawyer calendars, maintaining an in-depth knowledge of court rules and deadlines.
-File Lifecycle Management: Oversee the opening, organization, and retrieval of complex electronic and physical client records in coordination with Records Management.
-Client & Administrative Support: Manage travel itineraries, expense reports, and client meeting logistics while maintaining updated contact databases.
-Communication Handling: Screen and direct incoming calls and mail, responding to routine inquiries and managing messenger services with professional discretion.
-Financial Administration: Coordinate new Client and Matter openings and facilitate billing-related activities.
-Team Collaboration: Provide high-level backup support for other assistants and collaborate with functional departments like Office Services and Marketing.
-Continuous Learning: Actively maintain technical skills and stay current on legal and medical terminology where applicable.
Qualifications
-Bilingual (French & English) required.
-Legal Assistant Diploma or equivalent.
-Minimum 3 years of experience as a litigation legal assistant.
-Strong attention to detail and superior word processing, spelling, proofreading and editing skills.
-Capacity to perform duties with speed and accuracy.
-Strong time management, organizational and multi-tasking skills and ability to work under pressure to meet important deadlines.
-Ability to follow-up on files and delays with minimal supervision.
-High level of discretion and confidentiality.
-Flexibility to occasionally work overtime.
Our Client operates across Canada, and globally/internationally in the United States and other countries. This company takes all reasonable means to limit the number of positions in Quebec that require knowledge of a language other than French, and only requires this where it is necessary and its existing bilingual employees are unable to fulfil these job duties. Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (oral and written). In particular, this position will require the employee to:
-communicate with English-speaking clients/partners/employees located outside Quebec on a regular basis
-work on client projects, products or deliverables that are required to be delivered to clients in English
