In this role, you will play a crucial part in the client onboarding and account transfer process. You will primarily be responsible for making outbound phone calls to third-party financial institutions to follow up on and track the status of client investment account transfers. This position operates in a mini-contact center environment with a strong focus on outbound communication, accuracy, and administrative execution using Excel and specialized internal databases.

Responsibilities
Outbound Follow-ups (80% of daily duties): Conduct high-volume outbound calls (~60 calls/day target) to external financial institutions to obtain real-time updates on client account transfers.
Data & System Management (20% of daily duties): Maintain and update internal ticketing systems, case management software, and document tracking systems (e.g., ISM, Kofax).
Excel & Reporting Work: Utilize Excel spreadsheets with pre-built macros to track status updates, organize daily workflows, and maintain high operational accuracy.
Team Participation: Attend daily 15-minute team huddles to review targets, discuss volume trends, and align on operational priorities.
Professional Representation: Maintain a professional and collaborative communication standard when representing the organization to external institution counterparts.
Qualifications
Must-Have Requirements:
Education: Post-secondary diploma or degree.
Experience: 1–2 years of operational background within banking, wealth management, or financial services.
Phone & Communication Skills: Proven experience and high comfort level with spending the majority of the day making outbound business calls. Exceptional verbal and written communication skills.
Strong Excel & Technical Aptitude: High comfort level working with Excel spreadsheets and a strong aptitude to learn and work with macros during/after training.
Attention to Detail & Multitasking: Demonstrated ability to manage multi-step processes, track high volume, and maintain accuracy under tight operational deadlines.
Nice-to-Have Skills:
Contact/Call Center Experience: Prior experience in a structured contact center or high-volume call environment.
Systems Familiarity: Prior experience using ticketing systems, ISM, EIS, or document imaging platforms (e.g., Kofax).
Bilingualism: Proficiency in both English and French is a strong asset (helpful for communicating with Quebec-based institutions).
Advanced Excel: Hands-on experience creating or troubleshooting Excel macros.
