Advantages
-Permanent position (40 hours per week), from 8:00 AM to 5:00 PM.
-100% on-site at the downtown Montreal office.

Responsibilities
-Ensuring that project documents and drawings are compliant with company standards and project requirements
-Reviewing documents and drawings for necessary data, entering appropriate data into document tracking system, and checking records for accuracy and completion.
-Ensuring that all documents are filed electronically on the project computer network and that a record of these filings are recorded in the appropriate system
-Updating project and contract documents (drawings and specifications) as directed by the project team.
-Ensuring that all required documentation is distributed to required stakeholders internally and externally.
-Maintaining project master document register and document distribution matrix.
-Assisting in the preparation of project turnover materials including the generation of operations and maintenance manuals, assembly of all documents, and the organization and presentation of the materials.
-Ensuring that all documents are properly submitted to all relevant stakeholders in compliance with contractual requirements and using mandated file transfer protocol or document management system.
-Auditing document log and project file, identify document discrepancies, and expedites delivery of missing documents
-Complete and distribute reports related to project documentation and the document management process.
-Report on status of document management process to project manager and drawing/document control supervisor.
-Assist with the design and implementation of solutions addressing document management issues
-Liaise with the project team and external parties for verification and resolution of relevant project and contract documentation issues.
Qualifications
-High school diploma required. Postsecondary degree or diploma or certificate in office administration program considered an asset.
-2 years of progressive experience as a document control coordinator, in the construction industry is a big plus
-Excellent verbal and written communication skills in both French and English
-Strong computer skills and ability to quickly learn the company's and client-specific software, working knowledge of Aconex (would be an asset to have).
-Ability to perform moderately complex tasks with a high level of accuracy.
-Ability to proactively recognize problems and provide solutions.
-Strong organizational skills and high level of detail orientation required to maintain all necessary documentation and meet deadlines and requirements.
-Ability to establish and maintain effective stakeholder relationships internally and externally.
Our Client operates across Canada, and globally/internationally in the United States and other countries. This company takes all reasonable means to limit the number of positions in Quebec that require knowledge of a language other than French, and only requires this where it is necessary and its existing bilingual employees are unable to fulfil these job duties. Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (oral and written). In particular, this position will require the employee to:
-communicate with English-speaking clients/partners/employees located outside Quebec on a regular basis
-work on client projects, products or deliverables that are required to be delivered to clients in English
