Position Title: Executive Administrative Assistant
Location: Administration Building – downtown Calgary (100% On-Site)
Hourly Rate: $26.61 / hour
Schedule: Full-time, Monday to Friday (7:30 AM – 4:00 PM)
Term: Temporary (ASAP – October 20, 2026)

Responsibilities
Key Responsibilities
Schedule & Executive Preparation (50%): Strategically manage and optimize the COO's calendar to align with top corporate priorities. Negotiate conflicting time demands across business units and external agencies. Build detailed weekly meeting binders to ensure the COO is fully prepared for every engagement.
Email & Inbox Triage (20%): Manage and triage incoming emails. Identify urgent, time-bound items, gather background information, and use discretion to draft responses on the COO’s behalf when appropriate.
Meeting Management & Action Tracking (10%): Coordinate senior leadership meetings, select appropriate venues using option analysis, prepare agendas, provide tech support, record minutes, and synthesize key action items.
Workflow & Task Tracking (10%): Maintain a robust bring-forward system to monitor critical reports, Council materials, agreements, and project launches. Track follow-ups from the Director’s office to guarantee timely completion.
Office Logistics & Operations (10%): Coordinate travel and catering, oversee FOIP requests and records management, handle routine filing/data entry, and draft official correspondence (including decision letters).
Qualifications
Qualifications & Experience
Executive Support Experience: Demonstrated experience supporting C-suite or senior executives in complex, fast-paced environments.
Advanced MS Office Skills: Expert proficiency in Outlook, Word, Excel, and PowerPoint.
Software Familiarity: Working knowledge of PeopleSoft/HCM and Livelink/Content Server is a strong asset.
High Autonomy: Strong initiative with the ability to anticipate executive needs and resolve challenges independently.
Professional Communication: Outstanding interpersonal skills to build positive relationships with internal leadership, external partners, and key stakeholders.
Work Environment & Physical Demands
Working Conditions: Constant indoor office environment (5 days per week on-site).
Physical Requirements: Routine office physical demands including sitting (frequent) and standing (frequent), with occasional floor-to-waist lifting.
