• Manage a multi-line switchboard, routing incoming calls to the appropriate team members and taking accurate messages.
• Sort, distribute, and track incoming and outgoing mail, packages, and courier deliveries.
• Maintain a tidy, organized, and welcoming reception area and front-of-house space.
• Coordinate the booking of meeting rooms, boardrooms, and shared office spaces, ensuring they are prepared for presentations or client visits.
• Provide general administrative support to the business administration and operations teams, including data entry, scanning, filing, and document preparation.
• Assist with basic office inventory management, monitoring levels of kitchen and stationery supplies and placing orders as needed.
• Respond promptly and professionally to general inquiries received via email or in person.
Qualifications
• High school diploma or equivalent; post-secondary coursework in office administration or business administration is considered an asset.
• Minimum of 1 to 2 years of experience in a receptionist, front desk, customer service, or administrative support role.
• Proven capability to operate multi-line phone systems and basic office equipment (scanners, printers).
• Reliable access to transportation to commute to various client offices across Calgary.
