Responsibilities
Calendar & Schedule Management: Proactively manage complex schedules, resolve calendar conflicts, and coordinate meetings, meeting spaces, and event requirements across internal and external stakeholders.
Travel & Expense Administration: Plan travel arrangements, compile expense reports, review expense data, and manage invoice processing.
Executive Communication & Support: Draft, review, and route correspondence on behalf of the VP; exercise strong judgment to delegate incoming enquiries independently.
General Back-Office Operations: Maintain accurate documentation, prepare reports and presentations, manage file systems, and support team administrative workflows.
Qualifications
Experience: 1–2 years of dedicated Executive Assistant experience supporting senior management or VPs.
Technical Proficiency: Strong skills in Microsoft 365 (Word, Excel, PowerPoint, Outlook).
Education: Post-secondary education preferred; high school diploma/GED required.
Communication & Judgment: Exceptional verbal and written communication skills with the ability to make sound decisions independently with minimal oversight.
Organizational Expertise: Excellent multi-tasking skills with precise attention to detail and confidential data handling.
Preferred Experience
Background in the banking or financial services sector.
Familiarity with modern AI tools (e.g., Microsoft Copilot, ChatGPT) to optimize, simplify, and organize daily workflows.
