Responsibilities
Board Administration: Act as the primary administrative support to the Board of Directors and its Committees; prepare and distribute agendas, reports, background materials, and official meeting minutes.
Partner closely with the CEO to manage, organize, and prioritize emails, calendars, and shifting daily priorities.
Proactively review the CEO’s and management team's schedules weekly to ensure all necessary briefs, documents, and logistics are secured ahead of time.
Prepare, proofread, and format complex documents, reports, and correspondence
Handle sensitive corporate, financial, and personnel information with the highest level of discretion and professionalism.
Oversee the organization’s central ordering, inventory, and vendor relationships, ensuring adequate office stationery, furniture, and equipment supplies.
Coordinate building logistics including security codes/keys, cleaning services, shredding, offsite storage archiving, and office equipment maintenance.
Ensure the physical office aligns with local regulations (e.g., Fire Codes, AODA compliance) and actively participate on the Health and Safety Committee.
Manage central office systems (phones, couriers, mail, printers) and handle onboarding orientation for incoming facilities vendors.
Serve as the primary point of contact for staff training logistics and tracking.
Coordinate and execute major corporate and community events
Manage event registration systems, secure venues, support presenters/partners, and deliver final post-event summary reports.
Manage complex schedules and space bookings for the management team, and arrange corporate travel logistics when required.
Receive and prepare invoices, track service agreements, maintain sales records, and liaise directly with clients and vendors regarding billing discrepancies.
Qualifications
Good written and oral communication skills and strong interpersonal skills
Excellent organizational skills and ability to handle a range of responsibilities at the same time through effective prioritizing and time management skills
Ability to prepare effective minutes, agendas, reports, emails, and general correspondence
Demononstrated professional experience working with executive leadership
Excellent communication and problem solving skills
Awareness of the need for and respect of confidentiality
Ability to deal tactfully and effectively with the Board and committee members, staff, students, and volunteers, public and community agencies and maintain good public relations
Possesses strong technological skills including Social Media; proficient use of various office based software including MS Office
Ability to work flexible hours and act independently
