They are seeking a highly organized and proactive Executive Assistant / Operations Administrator to provide direct support to senior leadership and assist with the day-to-day coordination of business operations.

Responsibilities
- Act as a key support partner to senior leadership, ensuring priorities, deadlines, and action items are tracked and completed
- Manage complex calendars, meetings, and scheduling across multiple stakeholders
- Coordinate administrative and operational activities to support day-to-day business functions
- Prepare reports, correspondence, presentations, and other business documentation
- Maintain organized records, files, and company documentation
- Assist with project coordination and follow-up to ensure timely completion of tasks
- Support communication between departments and external partners
- Handle confidential information with professionalism and discretion
- Monitor and manage administrative processes to ensure efficiency and accuracy
- Support reporting, documentation, and various operational initiatives as required
- Assist with special projects and additional assignments as needed
Qualifications
- 3+ years of experience in an Executive Assistant, Administrative Assistant, Operations Administrator, Office Manager, or similar role
- Strong proficiency with Microsoft Office, including Outlook, Word, and Excel
- Experience supporting multiple stakeholders and managing competing priorities
- Exceptional organizational skills and attention to detail
- Strong communication and interpersonal skills
- Ability to work independently, take initiative, and adapt to changing priorities
- Experience with QuickBooks or basic bookkeeping is considered an asset
- Experience coordinating projects, tasks, or operations within a construction, trades, engineering, manufacturing, or project-based environment is considered a strong asset
- Professional, resourceful, and able to maintain confidentiality
