You will handle confidential correspondence, synthesize complex meeting discussions into actionable minutes, and build executive-ready presentations for major client workshops and executive meetings.
This position requires a high degree of bilingual fluency (French and English). The executive assistant to the vice president of business development interacts daily with international stakeholders, corporate clients, and cross-border teams who do not speak French. English proficiency is necessary to review commercial deliverables, draft corporate documents, coordinate global calendars, and support sales efforts across global markets outside Quebec.

Responsibilities
• Record, compile, transcribe, and distribute comprehensive meeting minutes
• Design, format, and update executive-level presentations and proposals for meetings, client pitches, and strategic workshops.
• Maintain and track business performance dashboards and key performance indicators (KPIs) to support executive decision-making.
• Coordinate strategic action items with the business development team to ensure clear internal communication and alignment.
• Manage, organize, and optimize the executive calendar, appointment schedules, and travel logistics for the Vice President of Business Development.
• Assist in preparing, assembling, and reviewing business proposals, tender packages, and critical commercial contracts.
• Utilize CRM software (such as Salesforce) to log interactions, manage client databases, and ensure sales pipeline accuracy.
• Perform administrative or operational tasks to support the Vice President and the business development team in achieving corporate objectives.
Qualifications
• Outstanding organizational, prioritization, and time management skills in a fast-paced corporate setting.
• Advanced proficiency in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook) and modern digital collaboration tools.
• Proficiency with CRM systems, specifically Salesforce (considered a strong asset).
• Exceptional synthesis skills and the ability to articulate technical or complex information clearly.
• Strong sense of initiative, autonomy, discretion, and professional interpersonal skills.
