Responsibilities
-Provide high-level administrative support to the Chief Legal Officer and team to ensure seamless day-to-day operations
-Manage complex executive calendars, resolve scheduling conflicts, and prioritize meetings with internal and external stakeholders
-Coordinate end-to-end travel logistics, itineraries, and accommodations for assigned executive leadership
-Draft, proofread, format, and translate legal documents, reports, presentations, and correspondence
-Maintain organized filing systems, manage legal document workflows, and track deadlines, compliance filings, and contracts
-Maintain non-disclosure agreement (NDA) logs, private holdings lists, and conduct conflict-of-interest searches
-Prepare, process, and reconcile expense reports, invoices, and budgeting documentation in Concur and other internal systems
-Lead administrative projects, including data organization for information sharing across business units and designing executive KPI reports
-Coordinate meetings, conference calls, and legal briefings; prepare agendas, materials, and record meeting minutes
-Support committee meetings and assist in organizing large-scale corporate events
-Serve as a key liaison with internal teams and external legal partners, ensuring incoming requests are promptly routed and executed
-Handle confidential, sensitive, and proprietary information with the utmost discretion and professionalism
Qualifications
-Excellent written and verbal communication skills in both French and English
-Bachelor’s degree (an asset)
-Minimum of 7 years of experience in an executive support role, with experience working within a law firm, corporate legal department, or compliance team (ideally in financial or professional services)
-Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, OneDrive); experience with Concur and travel management systems is an asset
-Proven track record in proofreading, document editing, and formatting
-Strong client-service orientation with the ability to respond promptly and effectively to unexpected requests
-High degree of autonomy, proactivity, and strong time-management skills to thrive in a fast-paced environment
-Proven ability to prioritize and manage multiple complex tasks concurrently while supporting the Chief Legal Officer and team members
-Sound judgment, diplomacy, discretion, and high professionalism when handling confidential information
-Ability to work independently with minimal supervision
-Strong aptitude for learning and becoming proficient with new technologies and internal systems
Our Client operates across Canada, and globally/internationally in the United States and other countries. This company takes all reasonable means to limit the number of positions in Quebec that require knowledge of a language other than French, and only requires this where it is necessary and its existing bilingual employees are unable to fulfil these job duties. Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (oral and written).
