Responsibilities
• Coordinate, manage, and optimize complex calendars for the Vice-President and up to 6 high-level directors or executives.
• Handle all accommodation arrangements and travel coordination for executives.
• Monitor, sort, and manage executive email inboxes to prioritize critical inquiries and flags.
• Oversee day-to-day office and facilities administration, helping coordinate and set up a brand-new office space.
• Independently prioritize competing requests from multiple stakeholders in an evolving, startup-like project environment.
• Complete miscellaneous ad-hoc administrative tasks to ensure the smooth execution of corporate schedules and deadlines.
Qualifications
• 2 to 3 years of dedicated experience working as an Executive Assistant, Administrative Assistant, or in a mid-level administrative support capacity.
• Prior experience working within a fast-paced project environment, capital expansion setting, or corporate startup is highly transferable.
• A professional background or experience working within the engineering, construction, or mining industries is considered a strong asset but is not strictly required.
• Must be fully comfortable working 100% in-office (5 days a week) at the Mississauga location.
• Ability to occasionally work flexible hours or overtime to meet critical project deadlines.
• Successful completion of a standard criminal record check as part of the onboarding process.
