Daytime schedule, Monday to Friday (37.5 hours/week)
Salary between $35 and $40/hour, depending on experience

Responsibilities
Efficiently manage phone calls and determine if the caller can address their request independently.
Produce various reports using appropriate software tools.
Develop and maintain an effective administrative management system for departments (archives, donations and sponsorships, etc.).
Take notes and draft minutes when required, as well as prepare and send various administrative correspondences.
Perform other departmental tasks, including processing service invoices, requesting checks for donations, and sending weekly circulars.
Proofread presentation documents and materials for external publication, ensure visual consistency, and format documents.
Support internal and external communications advisors with event organization tasks (guest list preparation, contact research, database management, RSVP tracking, badge production, ordering branded products, supplier follow-ups, etc.).
Make reservations upon request (flights, hotels, conferences, restaurants).
Order office supplies and anticipate needs based on upcoming projects.
Qualifications
Diploma of Vocational Studies (DEP) in Office Automation, Secretarial Studies, or equivalent
3 to 5 years of experience in similar secretarial roles
Proficient in Word, Excel, and PowerPoint
Bilingualism essential (spoken and written)
Excellent command of French and English grammar
Strong organizational skills, ability to manage priorities, and planning capabilities
Ability to handle multiple projects simultaneously
Skilled at interacting with various stakeholders, including media representatives and senior management
Energetic, proactive, diplomatic, and sound judgment
Discretion and availability
