Responsibilities
-Proactively manage calendars, travel arrangements, and meeting coordination for executives
Sort and prioritize incoming emails, phone calls, and mail.
-Lead and support the management of strategic files and initiatives in collaboration with leadership
-Assist in the preparation and execution of projects, events, and communication initiatives
-Conduct competitive intelligence and market analysis to support decision-making
-Support organizational change management related to structure, technology tools, and internal processes
-Develop and maintain standardized document templates
-Manage calendars, client files, billing, and contact lists as needed
-Handle various administrative tasks, including new matter openings, expense report preparation, and -data entry
-Draft meeting minutes, reports, presentations, administrative documents, and correspondence
-Update and ensure the accuracy of the organization’s databases
-Monitor deadlines, internal procedures, and quality standards to ensure compliance.
-Perform other general administrative duties as required
Qualifications
-A minimum of five years of professional experience as an executive assistant
-Excellent oral and writing skills in French and English
-Excellent knowledge of Microsoft Office Suite (particularly Outlook, Word and Excel)
-Great attention to detail and ability to multi-task
-Proactive self-starter with good judgment, a high level of professionalism and exceptional communication skills
-Ability to set priorities, manage expectations and work within tight deadlines
-Excellent organizational and time-management skills
-Ability to work with highly confidential informaltion
