Responsibilities
Calendar Management and Travel: Master and maintain complex executive calendars. Fully coordinate national and international business travel, including bookings (flights, hotels) and expense report submission.
Meeting and Event Support: Organize, plan, and orchestrate all types of high-level meetings and events (including board meetings, Town Halls), including logistics, room coordination, and material preparation (briefing documents, meals). Communication and Liaison: Ensure smooth flow of incoming and outgoing communications (Outlook and Teams).
Act as a professional ambassador to visitors and external stakeholders.
Documents and Presentations: Prepare, review, and consolidate executive presentations (PowerPoint) and other sensitive documents, ensuring impeccable quality and accuracy.
Projects and Office Administration: Assist teams in tracking inter-site deadlines and deliverables.
Maintain essential administrative documentation (organizational charts, distribution lists, vacation tracking, new employee onboarding).
Confidentiality and Integrity: Manage sensitive information and special files with absolute discretion and constant professionalism.
Qualifications
Do you have what it takes for this Executive Assistant position for one of our clients in downtown Montreal?
Confirmed Experience: A minimum of 5 years of relevant experience in an Executive Assistant/Administrative Assistant role, ideally supporting senior executives.
Essential Bilingualism: Perfect command of French and English, both spoken and written, to communicate with client groups across Canada.
Technological Tools: Solid expertise with the Microsoft Office Suite (Outlook, Teams, PowerPoint, Word, and Excel). Exceptional Proactivity: Ability to anticipate needs and take initiative without constant supervision.
Strategic Organization: Strong skills in time management, organization, and workflow coordination.
Collaboration and Integrity: A team player, with impeccable work ethic and a keen business sense.
Additional Assets:
Understanding of financial reporting cycles or corporate secretarial responsibilities.
Experience with workflow management platforms such as Diligence or Concur/Workday.
Our client operates in Canada and internationally. The company takes all reasonable measures to limit the number of positions in Quebec that require knowledge of a language other than French and only requires it when necessary and when existing bilingual employees are unable to perform these functions.
Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (both spoken and written). Specifically, this position requires the employee to:
Communicate with English-speaking clients/partners located outside of Quebec on a regular basis.
Report to and communicate regularly with their manager and the Canadian management team, who are located outside of Quebec and do not speak French.
Interact with centralized internal services (e.g., Operations / HR / Finance / Legal) that support the organization across Canada and do not speak French.
