Work Model: On-site (minimum 4 days per week in the office)
Schedule: Full-time (40 hours per week, Monday to Friday)
Hourly Rate: $33 to $36 / hour (commensurate with experience and profile)

Responsibilities
Under the direct supervision of the Senior VP (External Corporate Communications, Investor Relations, and Sustainability) and supporting the Head of Employee Communication as well as the Montréal Office Vice-Presidents, your main duties will include:
Executive Support & Calendar Management:
Proactively, precisely, and rigorously manage the complex calendars of the Senior VP and executive leadership.
Coordinate logistics for high-visibility meetings, board committees, and internal/external events.
Screen, handle, and route incoming and outgoing communications with the highest level of discretion.
Prepare and review documentation, high-level presentations, and meeting minutes.
Investor Relations & Corporate Communications Support:
Coordinate logistics and preparation for major events (conferences, quarterly earnings calls, investor meetings).
Handle daily administrative follow-ups with the Investor Relations and Sustainability teams.
Build and manage extensive logistical files requiring fast execution and high attention to detail.
Office Administration & Coordination:
Agility-focused response to the varied needs of Vice-Presidents at the Montréal site.
Ensure effective priority management in a fast-paced environment ("Go Fast") and respond promptly to urgent matters.
Qualifications
Languages: Fluent bilingualism (French and English), spoken and written. English is essential on a daily basis for interacting with corporate teams and investors.
Experience & Education: Degree in administration, office management/secretarial studies, communications, or a related field, combined with significant executive support experience with senior management (VP / C-Level), preferably in a corporate environment or publicly traded company.
Technical Skills: Excellent proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel) and comfortable with videoconferencing tools and complex calendar management.
Attributes & Soft Skills:
Proactivity & Autonomy: Ability to anticipate needs, take initiative, and work independently without constant supervision.
Professional Demeanor & Confidentiality: Strong sense of decorum, professional maturity, diplomacy, and strict respect for confidentiality.
Rigor & Attention to Detail: Highly developed attention to detail and adherence to instructions.
Agility & Stress Management: Ability to thrive in a demanding, fast-paced environment driven by excellence.
Our Client operates across Canada, and globally/internationally in the United States and other countries. This company takes all reasonable means to limit the number of positions in Quebec that require knowledge of a language other than French, and only requires this where it is necessary and its existing bilingual employees are unable to fulfil these job duties. Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (oral and written). In particular, this position will require the employee to:
-communicate with English-speaking clients/partners/employees located outside Quebec on a regular basis
-work on client projects, products or deliverables that are required to be delivered to clients in English
