Because this is the firm’s first-ever Executive Assistant role, the team is looking for a senior administrative professional who excels at "managing up" and can proactively guide a driven, visionary leader on how to best leverage executive support.

Responsibilities
- CEO Calendar & Schedule Management: Strategically coordinate the CEO's complex calendar, prioritize meetings, manage scheduling changes, and organize upcoming speaking engagements.
- Travel & Meeting Logistics: Arrange all domestic and international travel logistics (flights, accommodations) and coordinate internal/external meeting setups, agendas, and virtual or in-person requirements.
- Proposal & Business Development Support: Assist with client proposal development by formatting complex documents, proofreading content, and ensuring submissions are polished and client-ready.
- Financial Administration: Review and monitor month-end financial statements, support internal payroll administration, and maintain neat financial records in coordination with external partners.
- Cross-Functional Team Support: Provide secondary administrative support to the Director of Client Delivery, tracking follow-ups, managing documentation, and assisting with project tasks.
- Social Media & Research Projects: Track basic social media activity and posting schedules, and conduct operational research for the firm's growth, such as gathering and comparing future commercial office space options.
- Tech Troubleshooting: Act as the first line of defense for basic tech issues, providing day-to-day software and application support across Microsoft Office, Teams, and remote-work systems.
- Confidentiality & Record Keeping: Maintain meticulous, easily accessible business archives while managing sensitive, high-level corporate data with total discretion.
Qualifications
- Experience: Proven experience as an Executive Assistant, Senior Administrative Assistant, or Office Coordinator, with an asset path supporting senior leadership in a professional services, consulting, or entrepreneurial environment.
- Technical Savviness: Strong proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams) and confidence troubleshooting basic hardware, software, and virtual platform issues.
- Financial Aptitude: Comfort dealing with baseline financial documents, including an ability to assist with payroll coordination and review month-end accounting reports.
- Communication & Formatting: Exceptional written and verbal communication skills, paired with a sharp eye for presentation, design, and detail when polishing client deliverables or memos.
- Proactive Personality Fit: Self-motivated and resourceful, with the confidence to proactively manage up, guide executive workflows, and keep pace with a fast-moving, idea-focused leader.
- Discretion: A highly dependable and professional character with an established track record of handling proprietary or sensitive corporate information appropriately.
