Responsibilities
• Calendar & Meeting Management: Manage daily calendars, appointments, boardroom bookings, conference calls, catering, and IT resources for executives.
• Travel & Expense Coordination: Coordinate travel arrangements and accommodations; process invoices and expense reports in accordance with company policies.
• Communication & Liaison: Act as a communication conduit for internal/external parties and greet reception visitors.
• Meeting Support: Attend meetings to assist with taking minutes and tracking action items for follow-up.
• Document & File Management: Prepare reports, memos, letters, and maintain electronic and hard copy filing systems.
• Legal Execution Tracking: Coordinate execution status and follow-up of key legal documents to ensure timely completion.
Qualifications
• At least 3 years of senior-level administrative experience.
• Technical Skills: Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook).
• Education: Post-secondary education in a relevant discipline (nice to have / asset).
• Professional Attributes: High standards of ethics, discretion, judgment, confidentiality, and time-management skills.
• Interpersonal Skills: Expert-level written/oral communication and ability to interact confidently with diverse executive personalities.
• Assets: Real estate industry background and bilingualism.
