Responsibilities
-Support the President directly by serving as a key operational contact and managing daily administrative priorities and operational workflows
-Maintain rigorous follow-ups on key deadlines, ongoing initiatives, commitments, and action items to ensure efficient decision-making
-Perform routine bookkeeping and financial tracking, including processing accounts payable/receivable, bank reconciliations, invoicing, and maintaining accurate financial tracking sheets
-Prepare and organize financial documentation for external accountants, auditors, and leadership
-Review and summarize commercial leases, contracts, and legal agreements, identifying key terms, renewals, notice dates, and obligations
-Prepare and coordinate documentation for external legal counsel and follow up on professional recommendations
-Support marketing and communication efforts by coordinating with external vendors, reviewing materials, and tracking project timelines
-Leverage Microsoft 365 tools (Excel, Word, Teams, SharePoint, OneDrive) to organize files, build tracking sheets, and ensure information is easily accessible
-Integrate AI tools and automation solutions to streamline administrative workflows and continuously improve internal processes
-Draft and prepare correspondence, presentations, working documents, and executive communications --Act as a central administrative liaison with employees, franchisees, vendors, external professionals, and corporate partners
-Manage ad-hoc administrative projects end-to-end with a high degree of autonomy, resourcefulness, and discretion
Qualifications
-Exceptional organizational and tracking skills, with the ability to manage multiple priorities simultaneously in a fast-paced environment
-Relevant experience in a senior administrative, coordination, or bookkeeping role within an SMB environment (experience in multi-entity businesses, franchise networks, commercial real estate, or professional services is a strong asset)
-Excellent written and spoken communication skills in French, with a strong working proficiency in English
-High proficiency in Microsoft 365 (Excel, Word, Outlook, Teams, SharePoint, OneDrive) and a strong ability to master new digital tools
-Demonstrated interest and familiarity with AI tools and process automation solutions
-Strong practical knowledge of accounting and bookkeeping (experience with QuickBooks or comparable accounting software is an asset)
-High level of discretion, judgment, and confidentiality when handling sensitive corporate information
-Great autonomy and resourcefulness with a natural drive to take ownership of files and resolve issues end-to-end with minimal supervision
-Strong capability to analyze and summarize complex administrative documents, including commercial leases and contracts
-Pragmatic and solution-oriented mindset, capable of distinguishing what can be handled independently versus what requires management or external professional escalation
Our Client operates across Canada, and globally/internationally in the United States and other countries. This company takes all reasonable means to limit the number of positions in Quebec that require knowledge of a language other than French, and only requires this where it is necessary and its existing bilingual employees are unable to fulfil these job duties. Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (oral and written). In particular, this position will require the employee to:
-communicate with English-speaking clients/partners/employees located outside Quebec on a regular basis
-work on client projects, products or deliverables that are required to be delivered to clients in English
