Responsibilities
- Manage and monitor multiple email inboxes daily, ensuring nothing falls through the cracks
- Respond to emails professionally and escalate items when needed
- Support the owner with calendar management, scheduling, reminders, and follow-ups
- Help organize priorities across multiple businesses
- Prepare, track, and organize documentation, including insurance documents, receipts, bills, supplier information, and job-related records
- Support invoicing, AR follow-up, and payment coordination to help keep cash flow moving
- Coordinate with the accounting firm to ensure documents and records are organized and up to date
- Assist with basic administrative and data entry tasks
- Coordinate with the business partner and operations team as needed for documentation and follow-ups
- Provide light personal assistant support, such as reservations, transportation bookings, event logistics, and personal scheduling support
Qualifications
- Previous experience as an Executive Assistant, Personal Assistant, Office Administrator, Administrative Assistant, or similar role
- Strong organizational and time management skills
- Ability to work independently with minimal supervision
- Comfortable managing multiple priorities across different businesses
- Strong written communication skills and professional email etiquette
- Experience with invoicing, AR follow-up, receipts, bills, or basic accounting support is an asset
- Experience in construction, trades, landscaping, property services, or a similar environment is an asset
- Comfortable working in an informal shop or home office environment
- Tech-savvy and able to learn new systems quickly
- Experience with email management and calendar management
- Must be reliable, proactive, detail-oriented, and accountable
The successful candidate will be someone who is extremely organized, self-motivated, and able to create structure without being micromanaged. This person should be comfortable working independently, managing competing priorities, and supporting a business owner who is overseeing several companies.
This role is best suited for someone who is practical, calm under pressure, and able to keep things moving in a busy, entrepreneurial environment.
