Your Work Environment
This is not a quiet, predictable desk job where you cross off a set list of tasks every day. It is a high-volume, fast-paced administrative role that changes constantly based on incoming requests.
Responsibilities
As the EI Coordinator, you will support managers and supervisors to keep the service and maintenance departments running like clockwork.
Safety Directive & Compliance Tracking (Crucial Focus)
Manage Safety Portals: Review annual elevator inspection data from the provincial safety governing body (AEDARSA).
Eliminate the Backlog: Take a high volume of outstanding directives, organize them into master spreadsheets, and systematically clean up the data.
Work Allocation: Review maintenance schedules and technical details to determine if a directive needs a single technician or a full crew.
Technician Dispatch: Send directive details to field technicians and supervisors so they have the exact paperwork required for safety repairs.
Constant Follow-Up: Manually track, chase down, and verify with field technicians that safety work is 100% complete, then update system records.
Systems & Operations Support
Master the SAP Project Planner: Use SAP daily to look up inspection reports, open/manage work orders, and request Purchase Orders (POs).
Procurement: Draft and request Purchase Orders through the central department located in Toronto, and order parts/supplies based on technical notes.
Customer Care: Answer incoming calls from property managers, architects, and contractors to figure out what they need and manage expectations regarding repair timelines.
Logistics & Scheduling: Book repair dates with customers, submit paperwork for local safety branch inspections, and use MS Project to build timelines for major upgrade jobs.
Light Warehouse Help: While primarily a desk role, you will occasionally step into the warehouse to receive incoming parts or packages.
Records, Invoicing & Office Support
Maintain Tracking Lists: Keep clean records for safety boards (like COR), worker lists, tool calibrations, training logs, and safety meetings.
Financial Support: Assist with accounts payable, handle monthly customer invoicing, process field team payroll/expenses, and track repair revenue.
Office Admin: Help welcome and onboard new field employees, order uniforms, set up training classes, and run reports using SAP and MS Office.
Qualifications
The Right Industry Mindset: Experience in Construction Administration, Trades, or Equipment Rental Operations is highly preferred. You understand the unique urgency, language, and client-facing nature of the industrial sector.
Tech-Savvy Tracking: Strong Excel skills (for managing massive spreadsheets) and a high level of comfort learning complex enterprise systems.
The "Follow-Up" Muscle: You don’t just send an email and forget it. You are pleasantly persistent and will call technicians directly to ensure tasks are completed and paperwork is signed off.
Software Proficiency: Experience with SAP (Project Planner function is a huge asset), Microsoft Office (heavy Excel and Outlook), and navigating database portals like AEDARSA.
