We are looking for a Donations Administrator to support the Manager and their team. If you are organized and versatile, this role is for you.
You will be at the heart of operations and will manage the administration of donation files, oversee the Salesforce database, and coordinate meetings. You will have the opportunity to develop strong relationships with your colleagues and grow professionally through coaching and ongoing training.

Responsibilities
- Maintain and update Salesforce records, including contacts, accounts, grants, and payment schedules; generate reports to support operations and decision-making;
- Process incoming grant applications, provide payment instructions to the bank as well as technical support to applicants;
- Communicate priorities, procedures, donations, and grant outcomes regularly and clearly to stakeholders, including grantees, members, advisors, the public, and other foundations;
- Perform general administrative tasks such as scheduling meetings, annual government filings, and maintaining organized file systems;
- Assist in the creation of the Annual Report and its publication on Diligent;
- Support the planning and logistics of board meetings and other Foundation events and functions;
- Manage the operations of a small office, including supplies, equipment, service contracts, mail processing, etc.;
- Provide administrative support to the President, Executive Director, as well as the Manager, Grants and Community Relations;
- Maintain strict confidentiality of all information related to members, applicants, grantees, advisors, and internal operations, in accordance with legal and ethical standards.
Qualifications
- Excellent knowledge in administration;
- Excellent bilingual (English and French) verbal and written communication skills;
- Accounting and budgeting skills;
- Strong analytical skills;
- Experience using AI technologies and database systems, particularly Salesforce, is a strong asset;
- A college degree or equivalent in administration is preferable and/or experience in working at a charitable foundation or in the non-profit sector;
- Solid computer skills (Word, Excel, Outlook, Adobe, etc.);
- Team player with collaborative spirit;
- Meticulous, proactive, hard-working and able to work as a self-sufficient member of a small team;
- Knowledge and application of best practices in grant making is an asset;
- Excellent interpersonal communication skills and a facilitative, respectful style when dealing with colleagues, applicants, grantees as well as the Board of Directors;
- Ability to meet deadlines, manage a variety of projects concurrently, and complete tasks in a timely fashion;
- Ability to interact and develop effective working relationships with people;
- Integrity, discretion, and confidentiality;
- Enthusiastic, curious, and passionate about the non-profit/charitable sector.
