Our client, a major federal government department based in downtown Ottawa, is seeking Junior Information and Records Management Specialists to join a high-priority document digitization initiative. In this role, you will support the end-to-end transformation of physical legacy files into secure, high-quality digital assets. Working within a structured team environment, you will be responsible for record retrieval, meticulous document preparation, high-speed scanning, and strict quality control to meet legal and corporate standards.

Responsibilities
- File Retrieval & Handling: Safely locate, transport, and maintain physical records in exact ordered sequence from storage areas to digitization stations.
- Document Preparation: Review physical files, remove fasteners (staples, paper clips), repair minor paper tears, and insert file separators according to standard operating procedures.
- Document Imaging & Digitization: Operate desktop scanners and imaging software to digitize high volumes of paper files accurately.
- Quality Assurance & Control: Perform primary and secondary quality checks on scanned images to verify completeness, legibility, resolution, and correct digital file naming conventions.
- Data Entry & Indexing: Save digital files into designated secure repositories, log metadata, and update tracking databases/spreadsheets accurately.
Qualifications
Security Clearance: Candidates must hold a valid Secret Level security clearance.
Recent experience in Information Management or Recordkeeping (IMRK), specifically involving the arrangement, classification, and preservation of digital or physical records.
Post-secondary education is preferred
Database Experience: using MS Excel and computer databases (e.g., MS Access or Oracle) for data entry or administrative purposes.
