Responsibilities
Project Integration & Coordination: Partner alongside Project Managers to plan, communicate, and execute the delivery of core project components, ensuring cross-functional alignment.
Risk, Issue & Action Tracking: Maintain, monitor, and update central risk registries, issue logs, and action items, proactively identifying potential bottlenecks and escalating critical issues to leadership.
Financial & Budgetary Control: Collaborate with diverse business and technical groups to gather regular progress updates and assist in maintaining detailed project budgets, forecasts, and cost trackers.
Status Telemetry & Reporting: Develop comprehensive project status reports, compile executive summaries, and maintain active reporting logs to keep stakeholders informed of milestones and variances.
User Acceptance Testing (UAT) Coordination: Coordinate, track, and report on User Acceptance Testing activities, ensuring testing phases are structured, documented, and completed.
Client Liaison & Business Analysis: Facilitate active communication with end-users and business clients, gathering operational requirements and maintaining detailed project documentation.
Artifact & Repository Governance: Monitor and govern the project document repository, ensuring all deliverables, technical guides, and meeting minutes are systematically reviewed, updated, and archived.
Administrative Support: Schedule cross-functional meetings, coordinate design workshops, and prepare polished presentation materials to support steering committee sessions.
Qualifications
Project Control Seniority: 3+ years of progressive professional experience operating as a Project Control Officer (PCO), Project Coordinator, or Junior Project Manager within complex corporate or IT environments.
Budgeting & Progress Telemetry: Proven experience collaborating with diverse technical groups to gather updates, maintain project budgets, and generate detailed progress reports (Strictly Required).
PCO & Project Manager Synergy: Demonstrated background working alongside Project Managers to manage deliverables, escalate systemic risks, and lead project documentation processes (Strictly Required).
Business Analysis & Client Relations: Practical experience in business analysis, requirements gathering, and maintaining structured communications with clients and end-users (Strictly Required).
UAT Execution Coordination: Verified experience planning, tracking, and coordinating User Acceptance Testing (UAT) activities and tester feedback loops (Strictly Required).
Systematic Repository Governance: Strong background managing project document repositories, version control, and status logs.
Project Tool Stack Literacy: Experience utilizing project management tools (such as MS Project or Planview) alongside presentation software (such as PowerPoint) to communicate project goals and schedules.
Preferred Assets:
Prior experience coordinating projects within a large-scale public sector organization or highly regulated industry.
Familiarity with Agile and Waterfall methodologies, and the integration of AI tools for generating project artifacts.
