We’re looking for a detail-oriented and organized Invoice processing coordinator to help manage and process invoices from our retail partners using the internal
(Vistex) system. In this role, you’ll make sure that invoices match our contracts, follow the correct approval steps, and are coded properly for our finance records.

You’ll work closely with our Key Account Managers and the finance team to ensure everything is accurate and up to date. Your work will help us keep track of spending and maintain clear, reliable financial records.

Responsibilities
- Review incoming invoices from retail banners to ensure accuracy and alignment with agreed contract terms.
- Obtain necessary approvals from Key Account Managers (KAMs) before processing invoices.
- Follow internal procedures for invoice coding, using reference tools (e.g., Power BI) to apply correct agreement numbers and account codes.
- Submit invoices by initiating scanning requests to the Vistex inbox via email.
- Process invoices in the Vistex system, ensuring all claim numbers and data entries are complete and accurate.
- Track processed claims and maintain clear records for audit and reporting purposes.
- Notify the Finance Manager once invoices have been processed, providing claim numbers for visibility.
- Use standardized communication templates to ensure consistency when submitting or following up on invoice requests.
- Collaborate with internal teams (Finance, KAMs) to resolve discrepancies or questions related to invoice processing.
Qualifications
- Excellent attention to detail and accuracy
- Experience with financial systems, preferably Vistex
- Proficient in Microsoft Office applications, including Outlook, Excel, and Power BI
- Strong organizational skills and effective communication abilities
- Ability to follow structured processes and workflows consistently
- Previous experience in invoice processing and coding is an asset
- Bilingualism (French and English) is required due to regular communication with internal and external stakeholders across Canada and internationally.
