Responsibilities
The lease administrator will be responsible for all stages of completing tenant leases, from negotiations to updates and will report to the President. The duties of the position include:
Interacting with tenants and responding to their queries
Responsible for summaries and abstracts of leasing documentation
Organizing and maintaining updated and accurate tenant files including leasing documents, correspondence with tenants, insurance certificates, HVAC contracts and other required tenant contracts (such as cleaning contracts)
Preparing, editing, reviewing and amending all leasing documentation (including Leases, Offers to Lease, Letters of Intent, Amendments and Renewals)
Negotiating all leasing documentation and ability to discuss leasing issues with outside counsel if necessary
Drafting all correspondence to tenants (including default letters, estoppels, consents to assignment and subleases)
Administering and doing follow-up on leases for execution
Performing due diligence searches on prospective tenants such as confirming legal names, information on the internet, credit reports, and incorporation
Maintaining updated tenant information and other property relevant information lists
Qualifications
3+ years experience as lease administrator in retail environment
Must be comfortable reading leases, abstracting & understanding leases
Proficient at handling own administration (filing, letter writing, follow ups)
Must be bilingual (written and oral)
Strong skills in Microsoft Office programs such as Word and Excel
Strong communication skills and interpersonal skills (contacts with tenants)
Strong organizational skills and ability to establish priorities and respect deadlines. Can multitask.
