• Oversee the full lifecycle of litigation files, ensuring all documents are correctly filed within the IManage system.
• Act as a project coordinator for long-term legal projects, ensuring milestones are met and stakeholders are kept informed.
• Coordinate daily schedules and prepare briefing materials for meetings, hearings, and client consultations.
• Foster strong professional relationships with clients, opposing counsel, and internal teams to ensure smooth communication.
• Maintain organized digital and physical filing systems, adhering to strict confidentiality and data management protocols.
• Assist with the preparation of court filings and specialized litigation documentation as required.
• Support the broader business administration team during peak periods or team-building initiatives.
Skills
• Advanced proficiency in the Microsoft Office Suite, specifically Word, Excel, and Outlook.
• Expertise in IManage or similar legal document management software.
• Exceptional proofreading, editing, and copywriting skills with a focus on technical legal accuracy.
• Strong project management capabilities, with the ability to track multiple moving parts across long-term files.
• Outstanding interpersonal skills and the ability to build trust quickly with senior stakeholders.
• Proactive "mind-reading" approach to administrative support and executive assistance.
• Ability to remain calm and effective under pressure in a high-volume ** business administration** environment.
• Knowledge of indigenous studies or reconciliation awareness is considered a significant asset.
Qualifications
• Minimum of 3–5 years of experience as a Legal Assistant or Executive Assistant within a law firm.
• Previous experience in litigation is highly preferred to support the 20% litigation component of the role.
• Proven track record of longevity and stability in previous professional roles.
• Demonstrated experience managing high-volume workloads and complex administrative tasks.
• Post-secondary education in Legal Office Administration, business administration, or a related field.
• Ability to work in-office as required per the team's rotating schedule.
