Responsibilities
Key Responsibilities
Email and Calendar Management: Monitor and organize the lawyer's inbox, prioritize messages, ensure timely follow-up, solicit the lawyer to address client needs, and manage the meeting schedule.
Logistical Coordination: Book meeting rooms, arrange transportation and accommodation, manage meal orders, and other related needs.
File Opening and Verification: Conduct conflict of interest searches and initiate file openings.
Accounting Data Management: Enter time entries and disbursements into the accounting system.
Billing: Handle the lawyer's detailed billing with rigor and accuracy, prepare, review, and issue client invoices in accordance with firm policies. Handle lengthy invoices but not a large number of simple invoices.
Cross-Functional Support: Provide ad-hoc support to the legal assistants in the litigation department when available.
Reception: Fill in at reception occasionally, as needed.
Qualifications
Qualifications and Skills
At least 4 years of experience in a similar role.
Excellent command of French and English (written and spoken).
Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.
Strong organizational and prioritization skills.
Meticulous attention to detail and a proven ability to organize.
The ability to anticipate needs and work independently.
Experience in a law firm or in-house legal department (an asset).
Knowledge of Maître billing software (an asset).
Knowledge of iManage document management software (an asset).
Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (oral and written). In particular, this position will require the employee to:
-communicate with English-speaking clients/partners/employees located outside Quebec on a daily basis
-work on client projects, products or deliverables that are required to be delivered to clients in English
