Responsibilities
Reporting to the Producer Services Team Leader, the incumbent plays a key liaison role between the various departments within the organization involved in managing producer files, in line with the application of current regulations, with the aim of ensuring efficient file transfer and monitoring.
In this capacity, the incumbent will perform the following duties:
- Coordinate the monitoring of end-of-process processes (non-compliant procedures, late submissions, and preliminary reviews without completion) from the Producer Services (SAP) team to the Compliance and Verification (CV) team and establish the required action plans;
- Collaborate with the managers on planning the activities and statutory requirements of the Compliance and Verification and Producer Services teams;
- Manage non-complex preliminary reviews;
- Prepare the identified analysis files:
Ensure initial contact with the company
Obtain supporting documents for the analysis and prepare an initial profile
Follow up with the producer once the analysis is complete
Collaborate with the Legal Affairs Department on cases that proceed to court
- Follow up with producers on the opening and progress of compliance files;
- Follow up with companies with mandatory invoices who wish to submit their revised data;
- Process requests received from the finance team and follow up with the appropriate people;
- Collaborate with the ecodesign team on producer files requiring their intervention and coordinate their handling;
- Follow up with producers on incidents assigned to them;
- Participate in promoting ecodesign services.
Qualifications
To qualify, candidates must meet the following criteria:
- Hold a college diploma in administration/management or any other combination of education and experience relevant to the position.
- Possess a minimum of two (2) years of experience in customer service and coordinating client files/records.
- Proficiency with the MS Office Suite and intermediate knowledge of Excel functions.
- Fluency in French** (oral and written).
- Functional knowledge of English** (written and oral communication with an English-speaking clientele – 50%).
- Experience with a corporate clientele or in a regulated sector (an asset).
Skills and Competencies
- Demonstrate strong communication skills (oral and written) and active listening.
- Demonstrate thoroughness and organizational skills
- Natural curiosity
- Aptitude for teamwork
- Ease in learning and adapting to different clienteles.
