Responsibilities
Mail & Logistics Management :
Process all incoming and outgoing mail and packages according to established schedules.
Sort, distribute, and track deliveries accurately to ensure timely arrival.
Maintain a high standard of organization and cleanliness within the mailroom work areas.
Facility & Equipment Support :
Perform daily cleaning and basic maintenance of office coffee machines.
Monitor shared equipment and office supplies, reporting to the Mailroom Lead when replenishment or service is required.
Manage and clear Vuse recycle pod containers in accordance with the collection schedule.
Assist with the general upkeep of the archive area and assist with archive preparation.
Event & Room Readiness :
Support event preparation, including light setup (non-installation) and decoration.
Ensure meeting room readiness by cleaning whiteboards, organizing chair placement, and assisting with basic layout needs.
Qualifications
Education: High School Diploma or GED equivalent.
Experience: 1–2 years of experience in a mailroom, office services, retail, or hospitality environment is preferred but not always required.
Technical Skills: Basic proficiency with Microsoft Office (Outlook for emails, Excel for basic tracking) and comfort using digital postage meters or package tracking software.
Physical Stamina: Ability to stand and walk for extended periods and lift/move packages or furniture
Manual Dexterity: Ability to perform basic maintenance on equipment, such as cleaning coffee machines or replacing toner.
Safety Knowledge: Understanding of basic workplace safety and ergonomics when lifting or handling mail.
Communication: Strong verbal and written communication skills for interacting with clients and reporting delays to management.
Organization: A high level of attention to detail to ensure mail is sorted correctly and supplies are replenished before they run out.
Problem-Solving: The ability to "seek clarification" and "take ownership" of tasks until they are fully resolved.
Adaptability: A flexible mindset to pivot from mail sorting to event decoration or archive preparation as priorities change.
Bilingualism (French and English) is required due to regular communication with internal and external stakeholders across Canada and internationally.
Our Client operates across Canada, and globally. This company takes all reasonable means to limit the number of positions in Quebec that require knowledge of a language other than French, and only requires this where it is necessary and its existing bilingual employees are unable to fulfil these job duties.
Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (oral and written). In particular, this position will require the employee to:
- collaborate and provide support to other colleagues and business functions located outside of Quebec who do not speak French
- attend essential training, meetings or conferences held outside Quebec, which are presented in English
participate in company-wide Canadian/Global town hall meetings and management information sessions, which are presented in English
