We are seeking an organized, independent, and proactive Office Administrator to join a closely-knit, family-owned company. This is a 12 month contract to support a maternity leave. This business specializes in residential and commercial projects across multiple active sites. As the sole administrator in the office, you will handle the day-to-day operational and financial administrative tasks that keep the business running smoothly. The pace of the office is moderate, with some days being busier than others. To ensure your success, a full one-month comprehensive training period will be provided alongside the current administrator before her departure

Responsibilities
- General Office Administration: Perform typical office administration duties including maintaining digital and physical filing systems, managing office supplies, sorting mail, and ensuring the office remains organized.
- Financial & Invoice Management: Accurately enter vendor and project invoices into QuickBooks.
- Quotations: Type out and format formal project quotes based on data provided by the project teams.
- Payroll Support: Facilitate weekly payroll data entry and support data entry and approvals for monthly union payroll and dues (note: payroll remittance is handled separately).
- Correspondence: Manage the central inbox, respond to client inquiries, and handle daily email correspondence.
Qualifications
- Software Proficiency: Strong working knowledge and experience with QuickBooks or other accounting software is an asset
- Communication Skills: Excellent, fluent English communication skills (written and verbal) are essential for this role.
- Independence: Proven ability to work autonomously and manage your own time effectively, as you will frequently be working in the office independently.
- Attention to Detail: High accuracy in data entry, particularly regarding numbers, invoices, and payroll data.
