We are seeking an organized, independent, and proactive Office Administrator / Reception to join a closely-knit team in Oakville. This is a permanent, full-time in office position. As the sole administrator on-site, you will handle the day-to-day operational and financial administrative tasks that keep the business running smoothly. The pace of the office is dynamic and seasonally driven—highly active during the peak spring and summer months, transitioning to a much slower during the winter. To ensure your long-term success, a supportive, comprehensive, and ongoing training period will be provided.

Responsibilities
· Greet clients in person and over the phone to direct them to the right person.
· Code and file financial material according to established records management procedures.
· Process accounts payable ensuring timeliness and accuracy of information.
· Send A/R statements and follow-up with outstanding collections, if applicable.
· Prepare daily cash deposits.
· Monitor employee attendance for payroll.
· Complete Warranty registrations for customer purchases.
· Enter stock and sales data.
· Enter payouts on bank portals.
· Complete Pleasure Craft License registrations with Transport Canada on behalf of customers and complete process as per established procedures.
· Assist with reviewing accounting schedules and investigating discrepancies.
· Assist with posting of retail deals.
· General journal entries as required.
· Answer general phone inquiries using a professional and courteous manner.
· Direct phone inquiries and voicemails to the appropriate staff members.
· Greet clients/suppliers/visitors to the organization in a professional and friendly manner.
· Use computer word processing, Excel, and database software to prepare reports, memos, and documents.
· Purchase, receive and store the office supplies ensuring that basic supplies are always available.
Qualifications
- Previous accounting or strong bookkeeping experience is strictly required.
- Proficiency with Microsoft Office (Word, Excel).
- Exceptional ability to prioritize multiple tasks, multitask efficiently, and comfortably navigate a fluctuating seasonal workflow.
- Excellent verbal and written communication skills, a problem-solving mindset, and a collaborative attitude suited for a small team environment.
- Must be able to work on-site in Oakville, with the understanding that vacation time features a blackout period during the peak season (March to September).
