Responsibilities
Office Operations & Property Liaison
Front-of-House: Greet visitors and manage all incoming/outgoing mail, couriers, and phone inquiries with a professional touch.
Facilities Management: Act as the primary liaison for North York building management, security, and maintenance; log service tickets for HVAC, electrical, or plumbing and ensure timely resolution.
Supplies & Vendors: Monitor and replenish office and kitchen inventory; review vendor invoices and route them for payment.
Communications: Manage office-wide announcements via Microsoft Teams regarding building updates, weather alerts, or general news.
Administrative & Financial Support
Accounting Assistance: Support the finance team with property tax processing, annual business license renewals, and accurate invoice coding within the Verify system.
Departmental Backup: Provide essential backup for Accounts Payable during peak periods or vacations.
Safety & Compliance: Act as the Emergency Plan contact and maintain updated First Aid training records and Health & Safety incident reports.
People & Culture Support
Onboarding/Offboarding: Coordinate the physical logistics for new hires (desk setup, IT coordination, tours) and manage equipment/badge collection for departing staff.
Candidate Hospitality: Assist with interview coordination to ensure a smooth experience for potential new team members.
Events & Wellness: Support the planning and execution of engagement events, such as wellness fairs, flu clinics, and community initiatives.
Qualifications
Proven experience in office coordination, administration, or a similar high-touch support role.
Highly organized and detail-oriented with the ability to prioritize in a dynamic setting.
Tech Savvy: Proficient in Microsoft Excel, Word, Outlook, and Teams.
Discretion: Comfortable managing confidential information with high integrity.
Collaborative: A service-driven mindset with the confidence to act independently when needed.
Local Presence: Ability to work reliably on-site in North York three days per week.
