Responsibilities
Main Responsibilities
· Provides support, advice, and guidance to all team members;
· Ensures the proper functioning and compliance with shelter policies, standards, and procedures;
· Manages, develops, and supervises the resources under their supervision;
· Manages operations in line with the objectives of the strategic plan and to meet client needs;
· Maintains the operations budget and ensures that all guidelines are followed;
· Develops team objectives in accordance with the established strategic plan;
· Ensures that all workforce needs are met so that established schedules meet client needs;
· Acts as a resource person for their team and implements initiatives to support them in carrying out their duties;
· Participates in recruitment initiatives;
· Participates, in collaboration with the team leader and supervisor, in the evaluation of shelter employees;
· Plans training needs while respecting pre-established budgets as well as the needs determined by her teams, in collaboration with the Human Resources department;
· Ensures that her management team effectively manages issues related to employee problems such as absence management, non-compliance with procedures, disciplinary measures, performance, etc.;
· Coordinates training schedules, meetings, and development sessions for employees at both shelters;
· Ensures that volunteer needs are met;
· Leads monthly meetings with her management team to address various issues raised in collaboration with each manager;
· Delegates the completion of certain special projects or tasks to various team members; · Ensures proper management of petty cash (distribution, reconciliation and verification), according to internal procedure;
· Ensures that status reports are prepared for the programs and activities under their supervision;
· Makes operational decisions regarding programs, activities, and services and participates in their launch;
· Responsible for monitoring and coordinating work on the buildings under their responsibility, in collaboration with the Buildings Department;
· Makes recommendations to the Director of Programs, Services, and Activities regarding changes to improve the team's services and activities;
· Participates, in collaboration with supervisors, in the operational deployment of activities with the Volunteer Coordinator;
· Ensures that kitchen operations meet client needs according to established standards, in collaboration with the kitchen supervisor.
Qualifications
To be effective in this role, you would have the following qualifications:
· Bachelor's degree in Business Administration and/or an equivalent combination of training and experience;
· A minimum of five (5) years of experience managing multidisciplinary teams in a constantly changing environment;
· Strong management, coaching, and resource management skills;
· Knowledge of the intervention environment and community organizations, the healthcare network, and/or a similar clientele;
· An interest in supporting vulnerable clients and the ability to work with an approach that promotes empowerment, recovery, and social integration;
· Initiative, empathy, and the ability to adapt to complex situations requiring analysis, demonstrating clinical acumen acquired and demonstrated through previous experience;
· Ability to make decisions quickly and effectively;
· Strong ability to collaborate with both those under their responsibility and their colleagues;
· Ability to build strong working relationships and communicate effectively;
· Ability to successfully complete a project from start to finish while demonstrating a sound work methodology;
· Be results- and process-oriented, with high expectations of themselves and their team;
· Have a positive and respectful attitude;
· Ability to demonstrate sound judgment and rigor in completing assigned tasks;
· Ability to work under pressure;
· Bilingualism (French and English); note that fluency in both English and French is required, as we are a bilingual organization, offering our services in both official languages to meet the diverse needs of our clients;
· Comfortable with numbers and data analysis.
