Work Location: 100% On-Site (5 days a week) at Montreal, Quebec. Schedule: Monday to Friday, fixed core business hours (8:00 AM – 4:00 PM or 9:00 AM – 5:00 PM).
This role is 100% dedicated to high-volume operational support, ensuring the proper transition of physical customer files into the digital system. You will be responsible for the end-to-end process of matching physical documents to digital customer profiles, logging details with accuracy, and preparing materials for the scanning team. The role requires the ability to work in a fast-paced environment where performance is directly measured by adherence to strict Service Level Agreements (SLAs) and the quality of work.

Responsibilities
Document Preparation: Manage the full process of preparing financial documents for digitization, including locating the correct customer profile in the digital system and matching the corresponding paper file.
Physical Handling: Execute the physical logistics of the role, including the handling, lifting, and moving of file boxes, and performing repetitive hand/wrist movements associated with document preparation.
Data Entry and Tracking: Accurately log customer details, file identifiers, and preparation status into tracking spreadsheets, utilizing strong data entry skills to ensure precise documentation.
Workflow Coordination: Coordinate effectively with the scanning team and other departments to ensure a smooth, timely workflow and accurate processing of sensitive business information.
SLA Adherence and Compliance: Prioritize and manage individual workload to consistently meet SLA requirements for service and productivity, adhering strictly to established guidelines and confidentiality protocols (e.g., AML).
Risk Mitigation: Investigate and escalate non-standard or high-risk activities as appropriate, exercising discretion in managing confidential file information.

Mandatory Requirements
Bilingualism: Mandatory fluency (verbal and written) in both French and English.
Experience: 0–2 years of overall experience, with strong organizational and time management skills.
Physical Capability: Ability to work a physical role involving lifting and moving boxes and comfortable with repetitive hand/wrist movements.
Technical Skills: Proficiency with MS Office Suite (Outlook, basic Excel for accurate data entry in cells).
Operational Mindset: Proven ability to work in a fast-paced environment and experience working with SLA (Service Level Agreements) requirements.
Education: High school diploma is mandatory; post-secondary education is preferred.
Desirable Qualifications
Previous filing experience or experience in an administrative function requiring strong document management.
Prior exposure to the banking industry.
