Our client, is seeking a proactive Project Coordinator to provide critical execution capacity to their AI Adoption team during a period of accelerating technology adoption and rising operational load.
...
In this role, you will play a key part in bridging the gap between cutting-edge AI product development and day-to-day business operations. You will support the team by keeping user-facing documentation up to date, onboarding new users, managing intake and feedback queues, and driving the operational cadence of the program. This position is ideal for an organized coordinator who is deeply interested in Artificial Intelligence and excels at driving user enablement and operational excellence.
Focus Area: AI Adoption & Change Management
Environment: Fast-paced, analytics, and technology-driven
Advantages
Cutting-Edge Domain: Gain high-value enterprise experience directly within an active Artificial Intelligence and Generative AI adoption ecosystem.
Operational Ownership: Run and optimize critical business processes, from multi-channel user intake triage to creating strategic Jira tracking workflows.
Collaborative & Modern Toolkit: Work closely with cross-functional technical teams while leveraging modern tools like Microsoft 365, SharePoint, and Copilot.
Clear Milestones for Success: Step into a structured environment with clearly defined 30, 60, and 90-day deliverables to set you up for success.
Responsibilities
Documentation Management: Keep user guides, quick-start guides, FAQs, and reference materials perfectly current as the AI product evolves. Monitor dashboard changes, maintain a clear user-facing change log, and validate that documentation reflects recent updates.
User Onboarding & Enablement: Lead the onboarding experience for new users onto the AI adoption dashboard. Act as the first line of support for user questions, creating distribution lists for updates, and escalating edge cases to the Program Manager or engineering teams.
Intake, Triage & Feedback: Manage incoming user queries, requests, and feedback channels across Microsoft Teams, email, and designated feedback portals. Triage issues by urgency, route them to the correct technical owners, and generate Jira stories based on trending user feedback.
Program Operations & Admin Support: Maintain the rhythm of business by keeping recurring processes running on schedule (cadence meetings, reporting cycles, communications). Support the Product Owner with ad hoc AI adoption and enablement initiatives.
Qualifications
Experience: 4+ years of experience in a complex project coordination, business operations, customer success, or tech enablement role—ideally within an IT, technology, or advanced analytics team.
Dashboard & Metrics Familiarity: Solid understanding of measurement, metrics, and analytics dashboards (e.g., Power BI or similar tools) from either an admin or advanced end-user perspective.
AI Affinity: Strong personal interest in and foundational knowledge of AI/GenAI technologies.
Communication & Queue Management: Exceptional written communication skills with a proven ability to draft clear, concise user-facing guides. Demonstrated capability to run a multi-channel intake queue seamlessly.
Technical Toolkit: Working proficiency with Microsoft 365 (Teams, Outlook, SharePoint, Excel, PowerPoint) and daily exposure to AI assistants like Microsoft Copilot.
Soft Skills: Highly organized, self-directed, customer-service oriented, and entirely comfortable navigating ambiguity within a collaborative team environment.
Preferred Qualifications: * Previous exposure to formal organizational change management, AI/GenAI adoption programs, or developer enablement initiatives.
Bachelor's degree in a technical or business-related field.
Summary
If you are a methodical Project Coordinator who excels at bridging the gap between technical platforms and non-technical end users, this role offers the perfect launchpad into AI operations. Bring your dashboard familiarity, queue-management skills, and passion for emerging technology to a team that is actively shaping the future of enterprise work!
