Responsibilities
Documentation & Compliance
- Lease Administration: Drafting and processing lease agreements, renewals, and notices in compliance with provincial regulations.
- Record Keeping: Maintaining organized digital and physical files for tenant profiles, insurance certificates, and building audits.
- Operations & Tenant Relations
- Service Coordination: Acting as the primary liaison between tenants, property managers, and maintenance staff to resolve issues promptly.
- Vendor Management: Coordinating with third-party contractors for repairs, landscaping, and janitorial services; reviewing service contracts and invoices. Financial & Administrative Support
- Rent Collection: Monitoring accounts receivable, issuing invoices, and following up on outstanding rent payments.
- Budgeting Assistance: Verifying utility expenses and assisting with the preparation of annual operating budgets.
Facility Oversight
- Site Inspections: Scheduling regular building walk-throughs to ensure property standards and safety protocols are met.
- Move-In/Move-Out Coordination: Managing the logistics of tenant transitions, including key handovers and suite inspections.
Qualifications
- Min 2 years Property Admin experience
- excellent communication, written/ verbal
- proficient in Microsoft Office, specifically in Excel
