On behalf of our client, a premier commercial real estate organization, we are seeking an organized, proactive, and detail-oriented Property Administrator to join their team in Mississauga. Working directly under the guidance of the Property Director, you will play a pivotal role in ensuring the seamless daily operation of the property service team, tenant relations, and administrative workflows. Responsibilities
Tenant Relations & Customer Service
- Serve as the primary point of contact for daily tenant inquiries via phone, email, and written correspondence.
- Maintain professional relationships with tenants, suppliers, contractors, and corporate office teams.
- Prepare and distribute formal correspondence, including default letters, warning notices, lease amendments, and general announcements.
- Oversee access card and parking garage remote management, keeping accurate tenant logs.
- Maintain and routinely update building emergency contact rosters.
Financial & Accounting Support
- Process accounts payable: code, verify, and route invoices for proper approval and update operational budgets accordingly.
- Assist with rent collection, monitoring arrears, and issuing monthly statements of account or collection letters to tenants.
- Generate purchase orders (POs), input approved POs into the system, and issue cheque requisitions for tenant improvements.
- Prepare bank deposits and log payments accurately into the accounting system.
Operations & Document Control
- Track and collect required compliance documentation, including tenant/contractor insurance certificates, WSIB certificates, sales reports, grease trap/exhaust receipts, and fire protection records.
- Input compliance logs, maintenance records, and HVAC details into Yardi.
- Participate in specialized tracking registries (e.g., GR) for tenant onboarding and proactive maintenance tracking.
- Establish and maintain both digital and physical filing systems using structured naming standards.
Qualifications
Experience: 1+ years of experience in Commercial Property Management or a high-volume real estate administration role.
Software Skills: Hands-on proficiency with Yardi and MS Office Suite (Word, Excel, Outlook).
Financial Aptitude: Solid foundation in basic accounting principles (A/P, A/R, coding, and budget tracking).
Core Competencies: Exceptional attention to detail, strong organizational skills, and clear verbal/written communication skills.
Work Arrangement: Willing and able to work 100% on-site in Mississauga (Monday through Friday).
