Responsibilities
Greet, assist, and sign in all incoming visitors and clients with a high degree of professionalism.
- Answer and manage a busy, multi-line telephone switchboard, routing calls to the appropriate team members.
- Collect, sort, and distribute daily incoming and outgoing mail, faxes, and courier shipments.
- Provide vital administrative and clerical support to team members, including document preparation and data entry.
- Monitor and manage boardroom schedules and collaborative hot-desk bookings using the company platform.
- Help maintain the organization and cleanliness of shared office spaces, including the kitchen and boardrooms.
- Assist with basic office coordination duties, including catering coordination for internal meetings.
- Monitor office supply inventories and place accurate orders to keep the workspace running smoothly.
Qualifications
At least two years of practical administrative or receptionist experience within a fast-paced corporate setting.
- A post-secondary degree or diploma in business administration or a related discipline is considered a strong asset.
- Previous experience working within the insurance industry is considered a beneficial asset.
- Exceptional customer service skills, with a proven ability to handle diverse client inquiries with ease.
- Strong organizational and time-management skills to prioritize multiple tasks and meet daily administrative deadlines.
- High proficiency with standard office software, including Microsoft Word, Excel, and Outlook.
- Excellent verbal and written communication skills to liaise professionally with internal staff and external clients.
- Ability to work both independently at the front desk and collaboratively with the broader support team.
