Responsibilities
- Receive and transfer calls
- Reception and registration of visitors
- Provide basic information to staff and customers
- Implement the office opening / closing procedures (lights, opening and closing doors, etc.)
- Processing mail and messaging, receiving and distributing faxes
- Management of conference rooms (catering support as needed)
- Maintaining the visitor waiting area
- Support the daily activities of the office
- Settle questions relating to installations with the operations manager as well as make service calls
- Processing of supplier invoices
- Drafting of standard and personalized correspondence, preparation of mailings (labels, enveloping, assembly of documents, etc.)
- Any other administrative work to achieve the team's objectives
Qualifications
- Experience: A minimum of 5+ years of relevant experience in office services (previous experience in a Professional Services Firm preferred).
- Education: High school diploma required (post-secondary education an asset).
Languages: Must be fluent in French and English to communicate regularly with clients located both inside and outside of Quebec.
- Software: Must have proficiency in Microsoft Office 365.
- Specific Knowledge: Ability to adapt to technology and learn intermediate software functionalities quickly.
- Key Skills: Strong problem-solving skills, ability to meet tight deadlines, and a customer-service-oriented mindset.
