Responsibilities
Reporting to the Health & Service Center Team Leader, the main responsibility of the incumbent is to welcome customers.
Main responsibilities:
- Greet visitors, including staff, volunteers, students, clients and the general public;
- Provide administrative support by phone, e-mail and in person, directing people to the right department or person;
- Handle requests and complaints by telephone, e-mail and general correspondence;
- Transfer calls and messages where necessary;
- Take messages and ensure they are passed on to the appropriate member of staff on time;
- Provide information and assistance to all customers;
- Manage the availability of activity rooms and ensure that they are ready for activities, meetings, etc;
- Track inventory requirements and place orders;
- Participate in a monthly operational meeting with team members;
- Perform sporadic replacements at the day shelter;
- Receive, sort and distribute daily mail;
- Perform administrative tasks such as photocopying, printing and faxing;
- Keep the programs and services bulletin board up to date to inform internal and external clients, staff members and other organizations;
- Maintain the safety and hygiene standards of the area.
- Schedule appointments for customer services and activities. Follow up on calls as necessary;
- Create and update monthly staff calendar, which includes team member check-ins and check-outs;
- Open and close the building, including locking doors, turning off lights, etc;
- Prepare food and beverages as required for staff meetings, customer workshops, etc;
- Maintain statistics on all customers using a service through our statistics platform;
- Keep records in order and up to date, whether physical or electronic copies;
- Accept and record all monetary and other donations;
- Maintain a list of banned women;
- Control interaction with customers and their comings and goings on the monitor and ensure that rules are respected.
- Perform other administrative and clerical duties as required.
Qualifications
- College certificate in social work or equivalent combination of education and experience;
- A minimum of 2 years experience in a position that performs administrative tasks or in a similar position;
- Minimum of one year experience with a non-profit organization (volunteer or employment);
- Excellent oral and written communication skills, especially with a difficult clientele;
- Bilingualism (French and English);
- Able to work with a difficult clientele;
- Solid understanding of Microsoft suite products;
- Ability to work in a demanding, fast-paced environment;
- Demonstrates good judgment, organization, attention to detail, interpersonal and analytical skills;
- Ability to work as part of a team, with strong listening skills;
- Knowledge of community resources for the homeless, mental health, crisis management and substance abuse an asset;
- Strong negotiation and conflict resolution skills;
- Sense of urgency;
- Knowledge and understanding of Aboriginal culture and traditions an asset;
- Ability to work with individuals from different cultures.
