The Planned Maintenance (PM) Coordinator plays a critical role in ensuring the efficient administration and execution of the company's scheduled maintenance programs. This position is responsible for managing the Planned Maintenance program, coordinating service schedules with dispatch, securing required parts with the parts department, and maintaining accuracy in PM compliance tracking. The PM Coordinator will ensure preventative maintenance services are proactively scheduled, completed on time, and properly documented to support customer satisfaction, technician productivity, and operational efficiency.

Responsibilities
What YOU will be responsible for:
The main responsibilities fall into four categories:
PM Scheduling & Compliance
-Manage the PM scheduling platform, ensuring the timely generation and assignment of planned maintenance work orders.
-Track due/overdue PMs and proactively communicate with dispatch and customers to schedule service.
-Maintain accurate records of completed PMs and update the status in relevant systems.
-Identify missed or incomplete PMs to ensure completion and rebooking if necessary, or PSR solution participation.
Interdepartmental Coordination
-Work closely with dispatch to align technician availability with scheduled PMs and customer preferences.
-Liaise with the parts department to ensure necessary PM kits and parts are available prior to scheduled maintenance dates.
-Coordinate with the sales and service team on the onboarding of new PM contracts or changes to existing ones.
Customer & Contract Administration
-Maintain a database of customer PM agreements, including service frequency, equipment lists, and special terms.
System & Reporting
-Utilize ERP or PM tracking software to generate reports and dashboards for overdue PMs, compliance rates, and PM volume.
-Review and resolve discrepancies in PM intervals, billing status, and equipment records.
-Assist with monthly or quarterly PM performance reporting for management review.
Qualifications
What YOU will bring to the table:
-Minimum 4 years of experience in service coordination, scheduling, or administrative roles (preferably in industrial, equipment rental, or service environments).
-Strong organizational skills and attention to detail.
-Proficient in Microsoft Office (especially Excel) and ERP/maintenance management systems.
-Excellent communication and interpersonal skills for cross-departmental collaboration.
-Ability to work under pressure and manage multiple deadlines.
Assets
-Familiarity with equipment maintenance schedules or the material handling/forklift industry is considered an asset.
