The perfect symbiosis between visionary leadership and administrative support is no myth—it is a strategic force. At the heart of our West Island institution, you will be more than just an assistant; you will be the Guardian of Decision-making Fluidity. Your mission is to serve as the pillar upon which our governance bodies rest, allowing our leaders to devote themselves entirely to the growth of our community and our members.
...
In this pivotal role, your initiative and precision will transform administrative complexity into a well-oiled machine. Whether through the seamless management of executive committees or the meticulous preparation of assemblies, you will act as the anchor for a collaborative, human-centric team. We aren’t just offering a job; we are offering the opportunity to apply your expertise to a true flagship of the Quebec economy.
Duration: Temporary mandate with the possibility of extension.
Location: Montreal (West Island) – A stimulating and people-focused environment.
Salary: Competitive range.
Schedule: Full-time (35 hours/week).
Language Requirements
French: Advanced proficiency. English: Excellent mastery is required to serve our national/international clientele and to collaborate with stakeholders outside of Quebec.
Advantages
Major Canadian institutions often use agencies as their exclusive point of entry. A contract is frequently the "test drive" that leads to a permanent position.
Having a Canadian flagship institution on your CV instantly shifts how future recruiters perceive you. It serves as a seal of professional excellence and rigor.
You will collaborate with industry leaders and experts, building a powerful professional network that spans the country.
Most Randstad contracts provide weekly pay, a significant advantage for managing your cash flow and financial peace of mind.
Responsibilities
You prepare, attend, and ensure the follow-up for management committee meetings and Governance Bodies (Board of Directors). You are the "master pen" behind high-quality minutes and critical briefing documents.
You manage the executive calendar and communications with a forward-thinking approach, handling email flows, expense reports, and the intricate logistics of travel for leadership.
You coordinate team meetings, assemblies, and public relations activities from A to Z, ensuring every detail reflects the excellence and prestige of our institution.
You serve as the essential point of contact for the team regarding all operational matters, ensuring seamless consistency across all internal processes.
Qualifications
Experience: A minimum of 3 years of relevant experience (ideally within governance structures or supporting a Board of Directors).
Education: Diploma in Administrative Support or an equivalent combination of professional experience.
Technological Mastery: Advanced proficiency in the Office 365 Suite (Teams, SharePoint, OneNote, Outlook, Oracle) and a proven ability to produce high-level professional presentations.
Soft Skills: You possess strategic agility, a client-centric mindset, and a recognized capacity for organizing high-level executive work.
