Responsibilities
As a Vendor Management Coordinator, your duties will be:
•Supporting timely forecasting, responsible spending and accurate tracking of marketing spend across store and ecomm P&Ls for assigned channels / vendors.
•Working with category marketing and channel owners to document spending plans.
•Evaluating spending plans versus key metrics such as working and non-working ratios.
Creating purchase orders and goods receipts as per spending plans and Company procurement guidelines. Report on budget compliance to vendor management, escalating issues and decisions required as needed. Onboard new vendors to Company procurement processes and systems.
•Supporting forecasting process for assigned channels by collaborating with projects leaders and channel owners in the marketing department.
•Communicating forecast, including risks, uncertainty, and assumptions to Vendor Management Lead and with key stakeholders within marketing.
•Supporting vendor management leadership to investigate discrepancies between SAP & tacker, correct discrepancies and create process to avoid replication of same issue in future
•Working with project leads, channel owners, finance, accounting, vendor management and vendors to ensure accurate tracking and forecasting of Marketing annual spend for stores, eCommerce, Company Marketing group and non-marketing cost centers for assigned channels.
•Identifying shifts in spending across periods and channels, identify risks to meeting annual budget and communicate to vendor management. Support plans to ensure spending is on plan.
•Supporting vendor management with Marketing vendor onboarding including vendor # set up in systems, overview of invoicing process and systems
•Creating PO’s, monitoring forecast and actuals for assigned business area within marketing ensuring accuracy and compliance with Company process and policies
Qualifications
•Ability to work in a fast paced and changing environment
•Strong organizational and work prioritization skills and attention to detail
•Strong verbal and written communications
•Strong knowledge of Microsoft Office applications including Excel
•Strong Data Analysis and Reporting experience
•Demonstrated leadership, versatility, and integrity
•Team-oriented, with shown ability to work cross-functionally
•Builds relationships and collaboration with other departments
