In this role, you will own the physical side of office operations and serve as the human quality layer on top of a cutting-edge, AI-driven automation stack. You will manage full custody of key inventory and turnover logistics, coordinate cleaning vendors, handle front-office support, and resolve process exceptions routed by automated systems. Responsibilities
Keys & Turnovers
-Full custody of the key inventory — every key, fob, and remote logged, bagged, and accounted for
-Move-in key releases: exchange documentation completed, records updated, keys confirmed in tenant hands
-Move-out key collections on or before the move-out date; chase unreturned keys and coordinate rekeying
-Lockbox installations and collections across the portfolio for showings, vendors, and turnovers
Cleaning & Vendor Coordination
-Book turnover cleanings and services with our vendors; confirm acceptance and scheduled dates
-Verify completion with photo evidence before any job is closed
-Capture vendor invoices in our system and hand accurate billing amounts to accounting
-Arrange vendor and field-agent access: keys, lockbox codes, tenant coordination
Office & Executive Support
-Run the front office: mail, couriers, supplies, bank deposits, day-to-day upkeep
-Handle in-person tenant, landlord, and vendor visits — key pickups, document drop-offs, deliveries
-Support the General Manager and Managing Partner with scheduling and confidential correspondence
Systems & Exceptions
-Work in LeadSimple daily as the owner of the key, cleaning, and turnover workflows
-Action the calls, forms, and processes our automation routes to a human — cleared daily, not parked
-Catch and log anything the systems get wrong so it gets fixed at the source
-Help decide what gets automated next: document the process, hand routine work to systems
Qualifications
-2+ years in operations, administration, or coordination — property management or real estate is an asset
-Organized to a fault: comfortable being the single source of truth for hundreds of keys
-Quick with software — you'll work in LeadSimple, Rentvine, JotForm, Slack, and Google Workspace daily
-Comfortable working alongside AI tools and automated workflows
-Clear, professional communication with tenants, owners, and vendors — written and in person In-office five days a week — this is a hands-on role with real-world responsibilities
