Responsibilities
Administrative and Operational Support
Office management: Answering phone calls, managing email correspondence, and maintaining general workspace organization.
Travel coordination: Making travel reservations and preparing itineraries.
Calendar management: Tracking schedules and deadlines for group companies.
Personal support tasks: Assisting management with various errands or personal administrative matters (e.g., vehicle registration, auto insurance, etc.).
Basic Accounting and Financial Support
Payroll processing: Preparing and processing payroll for 7 employees via the Desjardins system (acting as the point of contact with Desjardins).
Banking operations: Performing bank reconciliations, Interac transfers, manual deposits (including trips to the bank as needed), and managing cash receipts via the banking platform.
Modeling and tracking: Creating and maintaining automated Excel spreadsheets to track transactions for 2 to 3 investment companies.
Qualifications
- Relevant experience in administrative support, secretarial work, or basic bookkeeping.
- Excellent command of Excel (++) and strong overall proficiency with technology and the Microsoft Office suite.
- Accounting knowledge: practical knowledge of payroll processing (experience with Desjardins is an asset) and bank reconciliation.
- Autonomy, proactivity, resourcefulness, a strong sense of curiosity, and professional rigor.
- Bilingualism (French/English).
Our Client operates across Canada, and globally/internationally in the United States and other countries. This company takes all reasonable means to limit the number of positions in Quebec that require knowledge of a language other than French, and only requires this where it is necessary and its existing bilingual employees are unable to fulfil these job duties. Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (oral and written). In particular, this position will require the employee to:
-communicate with English-speaking clients/partners/employees located outside Quebec on a regular basis
-work on client projects, products or deliverables that are required to be delivered to clients in English
