Responsibilities
CRM & Patient Records Management: Create and maintain highly accurate, regularly updated patient profiles within the Salesforce CRM; index, label, and securely archive sensitive clinical documents.
Clinic Logistical Coordination: Manage office inventory and medical supplies for regional clinic locations; collaborate with IT teams and senior leadership to coordinate equipment deliveries and system setups for new clinic expansions.
Clinical & Nursing Support: Assist nursing staff by preparing patient charts and coordinating tomorrow-day medication sheets; follow up with pharmacies regarding missing prescriptions or enrollment forms; draft correspondence to internal and external partners.
Communication & Inbound/Outbound Tracing: Answer inbound queries and manage outbound tracking calls with patients and Healthcare Professionals (HCPs) regarding prescription renewals; handle heavy, timely fax and email workflows.
Safety & Compliance Auditing: Audit and verify specific operational location reports to remove inconsistencies; accurately evaluate data to log and report Adverse Events (AEs) to the assigned safety and compliance units.
Qualifications
Language Requirement: Fluent professional bilingualism (English/French, oral and written). This role requires bilingualism to serve a national patient base and collaborate with stakeholders outside of Quebec.
Experience: 3–5 years of experience in an administrative role (experience in a medical clinic, specialty pharmacy, pharmaceutical, or healthcare office environment is strongly preferred).
Technical Fluency: Advanced proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); hands-on experience navigating complex CRM systems (Salesforce experience is considered a significant asset).
Skills & Competencies:
Strong interpersonal, customer service, and empathetic communication skills.
Excellent critical thinking, problem-solving abilities, and basic mathematical/financial acumen.
High organizational agility with the ability to work independently, multitask, and pivot through changing clinic priorities.
Education: High School Diploma or Post-Secondary schooling in medical office administration, healthcare administration, or a related discipline.
