Responsibilities
Located in our Montreal office, you will work closely with the Chief Financial Officer and the finance team.
• Providing administrative support to the General Manager of the North American business unit and the team;
• Managing emails and calendars;
• Preparing documents for meetings;
• Reviewing, editing, and translating documents;
• Travel arrangements and logistics: planning business trips and booking workspaces (in Montreal and at group offices);
• Expense accounts: reconciling credit card statements and tracking travel;
• External relations support: follow-ups after meetings and external outreach;
• Collaborating with the team of administrative assistants to coordinate the activities of the Executive Committee and governance bodies;
• Managing purchase requests, purchase orders, and invoices in SAP.
Qualifications
• A Diploma of Vocational Studies (DEP) in office administration or secretarial studies will be considered an asset;
• 10 years of experience as an administrative assistant;
• Excellent command of spoken and written French; bilingualism required;
• Excellent knowledge of Microsoft Office Suite (Word, Excel, Outlook);
• Knowledge of SAP will be considered an asset;
• Excellent command of French and very good command of spoken and written English are essential;
• Initiative, thoroughness, organizational and prioritization skills, and availability;
• Strong interpersonal and communication skills;
• Discretion and confidentiality;
• Adaptability, sound judgment, and ability to manage a workload with multiple priorities.
Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (oral and written). In particular, this position will require the employee to:
-communicate with English-speaking clients/partners/employees located outside Quebec on a daily basis
-work on client projects, products or deliverables that are required to be delivered to clients in English
