Responsibilities
• Manage complex, high-volume calendars, coordinate meetings, arrange travel logistics, and handle daily administrative tasks for the CFO and COO.
• Draft, edit, and proofread high-level correspondence, reports, presentations, and visual communication materials.
• Prepare agenda materials, attend executive meetings, record accurate minutes, and track critical action items.
• Screen and manage incoming inquiries, phone calls, and email correspondence with high professionalism and discretion.
• Process expense reports, track receipts, and manage reimbursement documentation.
• Coordinate meetings with internal and external stakeholders, ensuring timely delivery of agendas and supporting documentation.
• Provide back-up coverage for front desk and reception duties as needed, including mail distribution and courier arrangements.
• Maintain confidential executive records, databases, and filing systems in full compliance with organizational standards.
• Support special organizational projects, research initiatives, and report developments across business administration teams.
Qualifications

• Advanced proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint) with expertise in SharePoint (non-negotiable).
• Exceptional written and verbal communication skills with a refined attention to detail.
• Outstanding organizational, multitasking, and time-management capabilities under tight deadlines.
• Strong interpersonal and customer service skills, with a proven ability to engage diverse stakeholders.
• Sound judgment, proactive problem-solving, and strict adherence to confidentiality.
• Creative ability to design basic visual materials, communications, or presentations.
Requirements
• Completion of post-secondary education in Business Administration or a related field, or equivalent practical experience.
• Minimum of 2 years of relevant experience in a senior administrative or executive support role (experience supporting multiple executives simultaneously is preferred).
• Proven experience in meeting coordination, group facilitation, and administrative planning.
• Demonstrated ability to work independently and collaboratively in a fast-paced environment.
• Willingness to perform occasional reception/front desk coverage and administrative operational tasks.
• Ability to obtain a satisfactory Vulnerable Sector Check (VSC) and complete standard background checks.
